Wild-Life Day Camps and Tree Tops Clubs Terms and Conditions
Breakfast, After School, Inset Day and Holiday Clubs
It is a condition of accepting a place at Wild-Life Days Camps and Tree Tops Clubs that you accept the following terms and conditions.
Tree Tops Breakfast, After School, Inset Day and Holiday Clubs
Tree Tops operates an online booking system and you will need to register and book your session online with our online system provider KidsClubHQ. The link to their website is https://treetopsclubs.kidsclubhq.co.uk/rdr?u=home . All bookings are subject to availability and the person making the booking accepts our terms and conditions on behalf of all on the booking. All ad hoc bookings must be paid for at time of booking and are non-refundable. All contract bookings are to be paid within 10 days of invoice. It is the parents’ responsibility to let the school know their children will be attending Tree Tops clubs and the parents’ responsibility to let the school know if they have cancelled their session at Tree Tops clubs.
Tree Tops breakfast and after school clubs (please see below for holiday club bookings) operate two types of bookings as follows:
• Contract bookings
• Ad Hoc bookings
Contract bookings are a regular booking pattern for same day and session time. Contract booking sessions cannot be swapped and in exceptional circumstances the discretion of the Booking Manager will apply. Contract bookings roll on until one month’s notice in writing is given to amend or cancel the contract. Please email our Bookings Manager on email@example.com for any changes, amendments or cancellation to your contract booking. If one month’s notice has not been given, then one month’s sessions will be invoiced and will require payment. Contract bookings must still be paid for even if children are taken out of school for family holidays or in case of sickness.
Ad Hoc Bookings
Ad Hoc sessions are sessions that are booked as and when required and all Ad Hoc sessions must be booked before children can attend Tree Tops clubs. Ad Hoc sessions can be booked on our online system up to 15 minutes before club starts. Ad Hoc sessions are subject to spaces, are non-refundable and cannot be swapped. Ad Hoc sessions are to be paid for at time of booking and please see payment methods below. All Ad Hoc sessions must be booked through the online system and not at the club site.
Holiday Club Bookings
For all holiday club bookings please select the ad hoc button and the location. Holiday club bookings are to be paid for at time of booking by credit card, bank transfer or childcare vouchers. All holiday club bookings are non-refundable. Holiday club sessions can be swapped subject to availability and if 7 days’ notice of the sessions you wish to swap. The request to swap sessions must be emailed to the Bookings Manager on firstname.lastname@example.org .
Ad Hoc bookings are invoiced immediately a session is booked and payment is required at time of booking. Contract bookings are invoiced for the sessions for the first month as soon as your contract is approved. Invoices are sent out in advance round the 16 of each month for the following month’s sessions and the system will send this out automatically. Invoices are to be paid within 10 days of the date of the invoice.
Payment can be made by tax-free childcare, childcare vouchers, bank transfer or credit card. Please quote the name of your child when making payment.
Cash or cheques is not accepted nor are over the telephone payments.
Ad hoc bookings and contract bookings are to be paid even if children are taken out of school for family holidays or sickness.
All payments are non-refundable.
One months’ notice in writing is required to cancel or amend your contract booking.
Wild-Life Day Camps and Tree Tops Clubs reserve the right to review the price and session structure from time to time.
Wild-Life Day Camps and Tree Tops clubs use a debt collection service for any unpaid invoices which will result in charges being added to your account. Court proceedings will be issued for recovery of any unpaid debt that is more than 2 months old. Any costs related in pursuing the debt will be passed on to the debtor. Wild-Life Day Camps and Tree Tops clubs reserves the right to add a £10.00 late charge fee every week until the debt is paid in full.
Late Collection fees
There is a late collection charge of £1.00 per minute per child for each minute late to pick up children from their session finish time. This will be invoiced within 72 hours.
Special offers and discount codes
Special offers and discount codes can only be used for the purpose stated. Discount codes can be used once and on one booking only. Offers and discount codes can be withdrawn at any time. Sibling discount is not given for holiday clubs or offer codes.
If a child is booked in to Tree Tops and the staff or head office have not been advised they will not be attending, then staff will ring parents to enquire their whereabouts. Tree Tops will then use their Missing Children’s Policy. Tree Tops staff have a duty to report if they suspect a child in their care maybe suffering from neglect or abuse or a child makes a disclosure about neglect or abuse. In this event the relevant staff will follow the Safeguarding Children’s Policy as detailed in our policies and procedures.
Parents must inform Tree Tops staff of any conditions that may affect their child i.e. dietary, medical, learning behaviour) etc. If full information is not provided Tree Tops, if necessary, may exclude children from attending the club. In this instance no refund or credit will be given.
Tree Tops clubs ratio of staff to children normally exceeds all statutory requirements. Tree Tops clubs do not offer a higher ration then 1:12.
Children can only be collected by an adult over the age of 16 who has been authorised to collect them on their online registration form.
All children in our care are covered by our Public Liability Insurance.
Tree Tops Clubs reserves the right to exclude or refuse any person without notice, if we consider that their presence compromises the good atmosphere of the club. No refund/credit will be available.
KidsClubHQ our online system provider collects personal details of you and your child to register and enable your booking to be processed. If is your responsibility to ensure that you have the necessary permission to pass on the personal details of everyone required. KidsClubHQ and Tree Tops may hold some details for future marketing purposes. Please let us know if you do not want to receive future communications from Tree Tops or Wild-Life Day Camps Limited. Parents must agree to the terms and conditions of our booking system and our terms and conditions to book with us. You will inform us as soon as possible if there are any changes to the information we hold on you or your child, changes of address or emergency contact numbers.
Tree Tops and Wild-Life Day Camps reserves the right to exclude or refuse any person without notice, if we consider their presence comprises the club. Transport home will be the responsibility of the parent and no refund/credit will be available.
If Tree Tops is forced to close due to an external factor such as bad weather, infectious or contagious disease outbreak, power cut, teacher strikes or other industrial action by order of the Local Authority or Environmental health, customers will still be liable for fees incurred during the entire period of closure.
Tree Tops will endeavour to return lost property that have been labelled. Any postage costs in returning lost property are the responsibility of the parent. Any unclaimed breakfast and after school club lost property will be distributed to local charities at the end of each half term. Holiday club lost property will be distributed to local charities two weeks after the holiday club.
Parent Abuse of Staff
The threat or use of physical violence, verbal abuse or harassment towards our staff is likely to result in a termination of all direct contact. Such incidents may be reported to the police and local authority. If physical violence is used or threatened this will be reported to the Police.
It is recommended that children do NOT bring personal belongings (e.g. toys) to the club site. Tree Tops will not accept liability for loss or damage.
If your child is unwell and not able to attend Tree Tops after school club, please inform the club by 3.00pm at the latest. It is extremely worrying if our staff team is expecting your child and they do not turn up. Breakfast, Inset Day and Holiday clubs please inform head office if your child is not going to attend a session.
To minimise the risk of spreading illness and infection children who are unwell must not be sent to the Club and may only return once they pose no risk to others.
You will inform us as soon as possible if there are any changes to the information we hold on you or your child, changes of address or emergency contact numbers.
At Tree Tops the children in our care are at the heart of our clubs. Tree Tops, therefore, work closely with the schools our clubs are located as well as the Local Authorities. Tree Tops will share information with school they are in and the Local Authority to ensure we provide the best possible care for our children.
